We’re excited to share this month’s product release – and it’s a big one! With major enhancements to the Purchase Order functionality, improvements to credit notes and site forms, plus helpful User Interface changes, this update is all about saving you time and giving you more control.


Main Feature: Purchase Order Uplift

1. Progress Invoices via Subcontractor Link
Subcontractors can now upload progress invoices directly from the Purchase Order link. They’ll be prompted to select the ‘Progress Invoice’ checkbox – if they skip this, they’ll receive a warning before submitting the final invoice. Admin win!

2. Purchase Order Versioning
Editing a Purchase Order now retains the same Purchase Order number but logs a new version. View a full history of changes with version dropdowns. Simple, trackable, and consistent.

3. Purchase Order Cancellation Emails 
You can now choose whether to automatically send cancellation emails when a Purchase Order is cancelled. Moreover, the email is now a customisable template so that you can add content like site address and customer name.

 

4. Partial Accounts Payable Icon on Purchase Orders
Easily identify when a Purchase Order has been partially invoiced. A new icon displays in the Purchase Order Finance Box when there’s a partial AP raised – no more guesswork!

Additional Features 

Credit Notes Uplift
 • It’s now easier to find Credit Notes in Loop! We have updated the Credit Notes page to include a link back to the original invoice and a link directly to Xero
 • Icons now assist in the dashboard to show when a credit note has been allocated against an invoice, simple moves for better visibility
 • New Credit Note statuses identify where a credit note has been allocated and we’ve also made changes to the way the totals calculate, allowing you to visualise the allocated amounts against the original invoice

Clone Site Forms
You can now duplicate completed site forms with all previous answers retained. Perfect for repeated jobs or inspections – and no need to retype data.

Client Instructions on Mobile
Client instructions now show clearly on the mobile app, right below the critical info. Tap “Show more” to view full instructions.

 

Accounts Receivable PDF Changes

We have updated our AR table to allow for a more customer friendly template. This will automatically be updated across Loop.

 

Negative Variations

Upgraded our negative variation functionality to allow for partial line items that have not been included in a purchase order eg. materials or labour items to be added to a negative variation. Handy for when the customer buys their own fittings but wants them installed!

 

Excess Collection

For our Insurance customers who collect an excess, the Collect Excess checkbox in the Project Details section now determines whether the excess appears in the AR Invoice dropdown. If you’re not collecting the Excess simply uncheck the amount. Great for governance over excess amounts in relation to the cost of repairs.

 

Estimate Totals

We’ve added an ex GST figure to our Authorised Estimate screen to assist in reconciling your financial position. This means less clicks, less time changing screens, more time getting work done!

 

Finance Box 

The financial position on a job is sometimes confidential depending on who has access to your Loop. We have added a new role to allow for improved access to and visibility of the Finances on the job. Remove the role if you do not want certain team members to see the Profit/Loss.

 

Status Workflow on Mobile

Sometimes you’re further ahead than you thought you were, you can now jump statuses and find a new pathway through the workflow on the mobile with visibility of all statuses and easy selection.
